6 Signs You're Losing Leads and Don't Know It

An unreplied or unfollowed-up lead is treated the same as a lead that was never interested. Traditional platforms have failed to help businesses deliver results by developing a micro-understanding of customer intent and using that data to assist sales team
When we meet a sales team and ask them, they mostly complain about less leads. But when we check their conversation database, we can easily find so many unreplied chats, burning the cost of acquisition because they have already missed many deals. The reason is simple they don't have a customer journey map where every single piece of information is built from their previous conversations with clients. So what happens? We reply once, then never again, or nothing happens.
Six signs are explained here, so read them and understand the role of trending AI platforms that not just manage but also move the lead through the pipeline. Read it.
1. One WhatsApp Number, Shared Across Unlimited Team Members
The big failure of the current process is that when one number is shared with multiple people, every conversation belongs to everyone. There is no clear ownership and privacy of chats. Two different members reply to chats without having any idea what the customer's stage is, what the chances of the customer making a purchase are, their purchase interest, etc. etc.
Try this: open ten ongoing chats and ask your team who is responsible for each. If even three answers come back as "I thought someone else had it," those are leads waiting to go cold.
Now, what solution as a process change do we recommend at Responsr for the admin and the entire sales team? The admin can view all the chats along with the proper customer intent and chances of purchase created by Responsr, and who owns how many chats. Every chat will be assigned to a salesperson based on the round-robin method.
2. Challenges When One Customer Becomes Two Leads.
Sometimes you would have also faced the same problem: in your pipeline, a customer has filled out twice or shown their interest twice with different names. We are confused, and the same customer has been assigned to different people. Different people are discussing with the client, and the client is smartly negotiating with your team and making you a fool. You don't understand what the customer is playing with you, but due to this problem, you can't stop making double efforts and reducing the deal size.
3. Your Follow-Up Is in Your Sales Team’s Head. What If They Forget?
When a follow-up is scheduled for Thursday, it is very basic to think, “I will call them on Thursday,” but that’s not in the system. As an admin, you ask every salesperson and take a report on what is happening with them. That is, “I will call them on Thursday.” As an admin, you ask every salesperson and take a report every week on whether they have made every follow-up at the right time with the right approach or not. But it is very possible that when a chat gets older, it can be missed because new, fresh leads are being assigned to the salesperson.
In this, Responsr AI Assistant helps you by reminding you every day, in a new report:
- What the follow-ups are
- What replies are pending today
- What high-intent prospects you should focus of
Every morning, when you start working on making deals win, you can make sure no lead follow-ups or pending replies are missed.
4. First Call, First Impression, First Chance to Win.
Research says that the first approach to a fresh lead, if it is done within 5 minutes, increases the chances of getting a first response by at least 85%. When we approach them after 30 minutes, it reduces the chances of a response. It is now only 30%, and it gets too difficult to qualify the lead.
Because your customer has approached 3–4 of your competitors as well, and they might respond before you do. That means they would never respond to you.
5. You Lost the Deal. But Do You Know Why?
When a salesperson makes a guess that price is the main concern, the lead goes cold. Usually, we stop following up and talking to the lead, and we never know what happens until a system processes and analyses the entire conversation from the start to right now.
Whether it is a Google Meet, an internal meeting discussion, or a team-to-customer conversation via WhatsApp and email, everything should be in one place and analysed by a team. But that is very difficult and hectic in person, so that’s what Responsr does by analysing and assisting based on its mapping of the information.
6. Your Salesperson Takes Leave. Does the Pipeline Go Quiet Too?
When someone from your sales team takes leave, there are chances of losing the customer intent because you assign the same customer to someone else. That person doesn't know what has been discussed, how to approach them, and what method of your sales SOP can work for that particular customer. The chances of making a deal decrease when the original owner of the lead leaves.
Here, our smart AI intelligence of customer conversations makes you have no stress about any particular lead, whether you are approaching now, after a month, or after 6 months. It is the same, documented, and makes you understand:
- What has been discussed as of now
- What the customer thinks about your product
- How soon they need it
- What their concerns are
None of these problems account for discipline. Actually, nobody can hold hundreds of conversations in their head. When a number is shared with 4 or 10 people, in this case, nobody actually owns everything. Everyone is making an effort, but that effort is useless, not structured, and not responsible or accountable for every one of your team members.
What can fix all this? WhatsApp and email in one place, one owner per conversation, complete transparency of that conversation for your manager, and all pending follow-ups and replies visible without any concern or stress about remembering the entire conversation. This allows your sales team to focus better on enhancing their skills and finding the strategies that suit them best to win more deals.
That's what Responsr makes sure of: spending quality time on work and make effort what matter, making deal in your favor
